Using the Application Manager to Review Applicants

Open Applications to see everyone who applied to any of your casting calls. Work through New with Shortlist, Not a fit or Archive, message people from Shortlisted, and use Mark as cast when you give someone the part.

Open the Application Manager

You will be asked to sign in first. We will bring you straight back to this step.

Tap Applications in the menu to open the Application Manager. It shows everyone who applied to any of your published casting calls. Work through New with Shortlist, Not a fit or Archive, message people from Shortlisted, and tap Mark as cast when someone gets the part.

Before you start

The Application Manager needs at least one published casting call. Without one you will see No active casting call yet and a Post a Casting Call button.

You can also reach it from My Casting Calls with Manage applications on a call, or from a live call's own page with Manage Applications. Both open it already filtered to that call.

How the page is laid out

A row of stages runs across the top. Each one shows how many people are in it.

Above the stages, Casting call and Role filter everything. All casting calls shows every applicant at once. Clear filters resets both.

If Castkro asks you to verify

For the safety of performers, Castkro can ask casting directors who have not verified their identity to do so before they see more applicants. When that applies to you, a box at the top of the list says, for example, 7 more applicants are waiting. Verify your account to see them., with Verify my account.

  • You keep seeing the people who applied first. New applicants are the ones who wait.
  • The stage counts stay true. New shows everyone who applied, including the people waiting.
  • The photos in the box are blurred on purpose and cannot be opened. Some show only an outline.
  • Archiving an applicant does not make room for another one.

Verifying is free. Once your identity is verified, everyone who applied appears straight away.

Step 1: Choose what to look at

Leave Casting call on All casting calls to see who is new anywhere. To focus on one part, pick the call, for example Lead actor for a Hindi web series, then the role, for example Meera.

Step 2: Read an applicant card

Each card under New shows the performer's photo and name, which call and role they applied for, how many photos and videos are on their profile, and their note from Describe why you're the best fit.

  • Tap Quick view to see their photos, videos and credits without leaving the list.
  • Tap View full profile to open their whole profile.

When you open an applicant, their application is marked as viewed, and they can see that on their side.

Step 3: Decide on each applicant

Every card under New has these buttons:

Button What happens Does the performer hear about it?
Shortlist Moves them to Shortlisted Yes, they are told they have been shortlisted
Not a fit Moves them to Not a fit Yes, they get a polite update that you are not moving forward
Archive Moves the application to Archived No

After each decision a bar appears at the bottom naming the person, with Undo. It stays for about eight seconds.

Work through a big pile faster with Review

When you have several new applicants, tap Review followed by the number, for example Review 12 new. It opens the first applicant in Quick view, and each decision moves you straight to the next one. Use Undo on the bar if you tap the wrong button.

Step 4: Message people on your shortlist

Open Shortlisted and tap Message on a card to start a conversation through Castkro.

Messaging has three rules for casting directors. Your phone number has to be verified, you need a published casting call, and a free account can start 3 conversations in total for the lifetime of the account. Paid casting director plans have no conversation limit. Messaging does not use credits.

Step 5: Mark someone as cast

On a card under Shortlisted, tap Mark as cast. A box asks Mark followed by their name and as cast? Tap Yes, they're cast to confirm.

The "You got the part" email cannot be taken back

Marking someone as cast emails them You got the part straight away. You can undo the status afterwards, but not the email. Confirm only once you have actually offered them the role.

A cast performer stays under Shortlisted with a Cast badge, at the top of the list.

Step 6: Change your mind

  • Under Not a fit, tap Move to Shortlisted to bring someone back.
  • Under Archived, tap Restore to put an application back.

Find and invite more people

Open Suggested, then pick a Casting call and a Role. Suggestions are matched to one role at a time, on its role type, age band and city.

  1. Tap Invite to apply on a performer. To invite several at once, tick them (or tap Select all) and tap Invite followed by the number. You can select up to 25 at a time.
  2. If the suggestions are not right, tap Search all talent for this role under the role's details. Find Talent opens with the role already chosen, so Invite to apply there sends the invitation in one tap.

Invitations you have sent are under Invited, in three groups: Awaiting response, Accepted and Declined. For someone who has not answered, tap Nudge to send one reminder, or Withdraw to cancel the invitation. When an invited performer applies, they appear under New with an Invited badge.

FAQ

Why is the Suggested stage empty?

Suggestions are matched to one role at a time, so nothing appears until you choose a casting call and then a role. Pick both in the Suggested stage and the matches load.

Does the performer know when I mark them Not a fit?

Yes. They get an update saying the casting team has decided not to move forward with their application this time. Archive does not notify anyone.

I marked someone as cast by mistake

Tap Undo on the bar straight away to reverse the status. The You got the part email has already been sent, so contact the performer through Message to explain.

Why does an applicant have a Below preferences badge?

Your casting call has preferred applicant standards, and this applicant did not meet all of them. They could still apply. When one casting call is selected, tap Below your preferences to see only those applicants.

Can I nudge an invited performer more than once?

No. You can send one reminder for each invitation. If they still do not answer, try inviting someone else for the role.
